Job Description

The Senior Contract Administrator provides support by implementing and maintaining area controls systems, providing area status reports, schedules, project plans, and assists Project Directors (PDs) with contract management (client and/or sub-consultants). This position also provides support to the Area Manager, Business Development Manager and will work closely with corporate office staff to engage the team and establish projections and deliverables. 

 

Essential Duties & Responsibilities:

  • Reviews Area project reports to confirm accuracy of information such as milestone dates, project plans, and that supporting documents are accurate and current.
  • Assist Area Manager by assisting in the development of reports and presentations. Must knowledge of Power Point and have a strong eye for detail.
  • Assists with the collaboration of corporate contracts departments, Contracts Administrator, and VP of Administration, related to new contracts, joint venture agreements, subconsultant agreements, proposal approvals, amendments, and management of items in the contracts portal.
  • Assists with entering Project Plans in Deltek VantagePoint (CRM) when projects are awarded; ensuring that contract documents are filed and properly executed. Ensures that billing requirements are correctly entered, and billing rates match contracts and or master agreements.
  • Assists Project Managers and Directors with establishing project controls, files, and working documents that align with corporate guidelines
  • Develop Quarterly status reports and assists with yearly business planning
  • Works with business development and marketing team with Area activities, following leads at the different phases of Go/No Go, RFQ/proposals, and into the interview process as needed.
  • Evaluates Area controls systems and implements systems and best management practices and procedures.
  • Establishes control methods to ensure that projects are billed and paid in a timely manner.
  • Coordinates with billing coordinators to ensure that invoicing per contract guidelines are followed.
  • Other job-related duties or projects as assigned.

Minimum Qualifications:

  • Bachelor’s degree in Business Admin, Finance, Accounting, Construction Management, or related field, plus 5 years related experience in Project Controls, Administrative or Contracts Manager
  • Non-degree holders must possess 10+ years of experience in a construction, engineering or architectural related position.
  • Knowledge of Database Management, Contracts Management, Financial and Accounting Principles, and Construction management project controls.
  • Ability to read technical contract documents and understand technical concepts
  • Must have strong MS Office Suite skills
  • Experience with Deltek VantagePoint is desired and any project management software (i.e. PMWeb, Prolog, eBuilder etc.) is beneficial
  • Must be able to clearly and concisely communicate in writing (written correspondence and email)
