    Job Description

    We are currently seeking a Proposal / Marketing Coordinator to join our team in Sacramento, California. The Proposal / Marketing Coordinator will be responsible for handling proposal coordination, development, strategy and writing. The ideal candidate will be a team player, maintain positive working relationships, and communicate effectively with a variety of groups and individuals.


    Essential Duties & Responsibilities

    • Coordinate major, complex responses to RFQ/Ps; develop proposal structure and content to meet requirements, and take a proactive and strategic role in ensuring that win themes are developed and addressed
    • Utilize proposal management tools including outlines, matrices, and schedules to manage all aspects of proposal development, such as proposal strategy, content, and page count; task assignments and divisions of responsibility; proposal development review meetings; client pre-proposal conference meetings; and Q&A deadlines
    • Facilitate communication and information distribution with teams including client correspondence and amendments to ensure compliance and accuracy of bid content
    • Maintain CRM with accurate and current information to aid in BD and Marketing efforts
    • Maintain marketing information systems and records, including staff, resumes, project profiles and photography, project and corporate references, technical data, and proposal graphics
    • Ensure all materials are in alignment with the Vanir brand
    • Develop and maintain relationships with leadership, business development, and technical staff
    • Communicate and collaborate with management teams across the company

    Minimum Qualifications

    • 3+ years of marketing experience in the A/E/C Industry
    • Bachelor’s degree in Marketing, Communication, Journalism, English, Architecture, Construction Management, Engineering, or related field is preferred
    • Expertise in Adobe Creative Suite (InDesign, Photoshop, and Illustrator) and MS Office Suite is required
    • In-depth knowledge of the proposal lifecycle process
    • Comprehensive knowledge of formatting, proofreading, and editing copy
    • Strong and effective communication and writing skills
    • Proficient in using Cosential or similar CRM software
    • Experience with Federal forms, such as SF330’s
    • Creativity and ability to work well in a team environment
